Exporting means quoting in the buyer's currency while your books stay in rupees, and getting the exchange difference right.
Here the order is in US dollars, with an exchange rate to rupees. The invoice shows the customer dollars and records rupees in the books, so one set of books holds sales in every currency.
Before and after
| Without it | With it |
|---|---|
| Export invoices made in a spreadsheet | The invoice is in their currency |
| Rupee value worked out by hand | The exchange rate converts it |
| Exchange gains and losses missed | The difference posts when payment arrives |
| Export sales kept in a separate ledger | One set of books for every currency |
Each step is a real ERPNext screen in the demo company. FlowMentor points at what to fill in.
Sales Order
The customer's confirmed order: who it's for, the items at price-list rates and when it's due. The next documents are made from it.
Sales Invoice
The bill: what the customer owes for the sale, posted to the books as income when it's submitted.
Inside the demo company
Mith Demo Traders, a made-up company that makes and sells kettles and toasters. It isn't GST-registered, so its documents carry no tax.
The order from Austin Kitchen Supply is in US dollars at the demo exchange rate, from an Export USD price list. Foreign tax presets are in MithUniverse only.
You're signed in as a demo visitor. Nothing is emailed, and what you make is removed 15 minutes after you finish.
And what each of them gets from it.
Export sales
Quotes and bills in the buyer's currency.
Accounts
Gets rupee values and exchange differences posted.
Owner
Sees all sales in one set of books.
FlowMentor is our guide app for ERPNext. On each screen it points at the field to fill and the button to press, one step at a time, so you can finish the flow without training. It runs on the real screens, not a video.
The demo shows the plain flow. In a real project we set it up to how you work.
