What it costs, by scope

These are the ranges we quote from, not a price list. We publish only bands we can stand behind — if a number here turns out not to match what we would actually charge you, that is a problem with the page, not a negotiating position.

The four things that move the number

   How many users — and which kind

   ERPNext has no per-seat licence, so users do not cost you software. They cost you training, permission design and data-quality risk. Twenty people doing four different jobs is a bigger implementation than eighty people doing one.

   How many modules

   Accounting alone is a different project from accounting plus manufacturing plus HR. Each module adds process discovery, configuration and testing — and the modules interact, so the fifth costs more than the first.

   How much genuine customisation

   Configuration is included. Custom doctypes, workflows and integrations are not, and each one is a permanent maintenance commitment repaid at every upgrade. The honest advice is usually to run standard for a quarter first — most requested customisations evaporate.

   How messy the data migration is

   This is the one that moves quotes after discovery, and the one nobody budgets. Clean masters from a single system migrate in days. Fifteen years of Tally with duplicate customers, inconsistent item codes and opening balances nobody can reconcile is a project inside the project.

What the price does not include

  Depends on scale and whether it is managed. Self-host on your own infrastructure and it is cheaper; you own the operations either way.

• Support and AMC after go-live

  Optional, and priced separately so you are not paying for it during the build.

• Your own team's time

  Discovery, testing and training. The largest uncosted item in most implementations, and the one that decides whether the project succeeds.

• Licence fees

• How much does ERPNext implementation cost in India?

  Between ₹2 lakh and ₹25 lakh for most Indian mid-market operators, one-time. A four-module start for a small team sits at the bottom of that range; a multi-entity manufacturer migrating off SAP with custom apps and integrations sits at the top or beyond. The software itself is free and there are no per-user licence fees — you are paying for implementation and, separately, hosting.

• Why is the range so wide?

  Because four things move it independently: how many users, how many modules, how much genuine customisation, and how messy the data migration is. The last is the usual reason a quote changes after discovery. Any implementer quoting a firm price before seeing your data is guessing.

• What does the price not include?

• Is there a licence fee?

  No. ERPNext is open source under GPL-3.0, with no per-user or per-seat fee, ever. That is the single biggest cost difference against SAP Business One, Odoo Enterprise or NetSuite, and it compounds every year you run it.

• How long does an implementation take?

  Typically a structured timeline for a straightforward rollout, 10–16 weeks where a legacy migration or multi-entity structure is involved. Timeline correlates with data quality far more than with company size.

• Can we start smaller and expand later?

  Yes, and it is usually the right call. Going live with accounting and inventory, then adding manufacturing or HR once people trust the system, costs less and fails less often than a single big-bang rollout. The modules are designed to be added incrementally.

• How does ERPNext cost compare to SAP Business One for Indian mid-market operators?

  For a 50-user Indian manufacturer, ERPNext on MithTech-managed hosting lands at roughly ₹18–35 lakh one-time plus ₹3–6 lakh per year — ₹60–95 lakh over three years all-in. The published list price for SAP Business One Professional for the same scope starts at roughly ₹40 lakh per year once perpetual licences, annual support, and partner implementation are added, putting the three-year SAP picture at ₹1.5–2.5 crore before any customisation. • Is ERPNext really free? What is the catch?

  The software is genuinely free and remains so indefinitely — ERPNext is open source under GPL-3.0 and the Frappe Foundation publishes a public roadmap. There is no enterprise edition that unlocks features behind a paywall, no per-user fee, and no telemetry that phones home. What you pay for is the work to install, configure, migrate data, train your team, and run the servers. If your time is the cheapest input you have, you can do all of that yourself; if it is not, that is what an implementation partner is for.

• What is the monthly cost of running ERPNext?

  Self-hosted on a Hetzner or DigitalOcean VPS, expect roughly ₹8,000–25,000 per month for a small operator (up to 50 users) covering server, backups, monitoring and a domain. Phase 2 adds manufacturing, multi-entity, eCommerce or the modules the phase 1 users asked for once they trust the system. Each phase is a fixed-scope engagement, the work after phase 1 is paid for, and there is no penalty for spreading the build across two or three budgets.
