The answer surprises people: the part they expect to be expensive, the licence, is zero. The confusion is that "free software" and "free project" are not the same thing. The budgeting mistake I see most is treating a free licence as a free rollout, then being caught out by the setup and support costs that were always going to exist.

Is ERPNext really free?

Yes. ERPNext is free and open source, released under the GNU General Public License version 3 (GPL-3.0), with copyright held by Frappe Technologies and contributors. There is no licence fee, no per-user subscription and no premium edition with hidden features. Two things sit in separate apps, both also free and open source: HR and payroll moved to the Frappe HR app, and Indian GST, e-invoicing and e-way bills come from the India Compliance app by Resilient Tech.

That changes what you are buying. With many commercial ERPs you pay for the right to use the software, often per user per year. With ERPNext the right to use, change and self-host the code is free. What remains is the cost of making it work for your business: a services and infrastructure cost, not a licence.

What do you actually pay for with ERPNext?

Four things: hosting keeps the system running, implementation gets you live, support keeps you healthy afterwards, and custom work adapts ERPNext to anything your business does that the standard workflows do not.

None of these is a licence fee. In theory all are optional: you could self-host, self-implement and self-support with the skills in house. In practice most businesses pay at least for hosting and implementation, because doing them badly costs far more than doing them right.

What drives ERPNext hosting cost?

The deployment choice, more than anything. ERPNext runs two broad ways: self-managed, where you rent a server and run everything yourself, or on a managed platform, where a provider handles the server, backups, updates and uptime. The trade-off is money against in-house effort; neither is cheaper for everyone.

Self-managed hosting on a VPS or cloud instance looks cheapest on the invoice, but it needs someone who can run Linux, MariaDB, Redis, Nginx, the Frappe bench, backups and monitoring. What drives ERPNext implementation cost?

Scope. A single-module go-live for a small team is a different project from a multi-entity rollout with manufacturing, complex tax and several integrations. The drivers are how many modules you switch on, how much history you migrate, how many outside systems you connect and how much training your team needs.

Data migration is the most underestimated. Clean, structured data moves quickly; spreadsheets with duplicates and mixed formats take real work to reconcile before they go into ERPNext. What drives ERPNext support cost?

How much ongoing work and assurance you want. After go-live someone still has to apply updates, fix issues, add the odd field or report, and answer questions when your team hits an edge case. A stable business that rarely changes its processes needs light support. A fast-growing one that keeps adding users, workflows and integrations needs more. Neither is wrong: the cost tracks the work and the response times you sign up for.

How is ERPNext different from subscription ERPs on cost?

In the licence model. Subscription ERPs usually charge per user, per month or year, for as long as you use them, so the cost grows with headcount and never ends. ERPNext charges nothing for the software, so the cost follows the services you choose, and much of it comes up front in implementation rather than recurring.

That does not make ERPNext cheaper for everyone. If you want a hands-off, vendor-run product with no technical involvement, a subscription can be simpler. If you value ownership, no per-seat cost as you grow, and control over your data and custom work, the open-source model usually comes out ahead over several years.
