A supplier's bill arrives. Before it's paid, someone has to check it against what was ordered and what actually came in.
Here the purchase invoice is made from the receipt, so each line points back to its order and receipt and the prices are what was agreed. The payment goes out from the bank against the invoice, and ERPNext's bank reconciliation tool matches it to the statement later.
Before and after
| Without it | With it |
|---|---|
| Bills checked against paper orders | Each line linked to its order and receipt |
| Paying for goods that never came | The bill is made from what was received |
| Supplier balances in a separate ledger | The payment is set against the bill |
| Payments ticked against the statement by hand | Bank reconciliation matches them |
Each step is a real ERPNext screen in the demo company. FlowMentor points at what to fill in.
Purchase Invoice
The supplier's bill, made from the receipt, so each line matches what was ordered and received.
Payment Entry
Money received or paid out, set against the invoice it settles, so the balance shows what's still owed.
Inside the demo company
Mith Demo Traders, a made-up company that makes and sells kettles and toasters. It isn't GST-registered, so its documents carry no tax.
200 steel bodies were ordered and received; you enter the supplier's bill and pay it by bank transfer. The supplier portal and the WhatsApp remittance advice are in MithUniverse only.
You're signed in as a demo visitor. Nothing is emailed, and what you make is removed 15 minutes after you finish.
And what each of them gets from it.
Accounts payable
Books bills that already match the order.
Purchase team
Sees which orders are billed and paid.
Finance
Knows what's owed to whom.
FlowMentor is our guide app for ERPNext. On each screen it points at the field to fill and the button to press, one step at a time, so you can finish the flow without training. It runs on the real screens, not a video.
The demo shows the plain flow. In a real project we set it up to how you work.
