A supplier's delivery arrives. It has to be checked against the order, inspected if it's a critical part, and put away so it can be traced later.
Here the receipt is made from the purchase order. Because the item needs inspection, the receipt can't be submitted until a quality inspection is accepted; then the goods go into stock with a new batch number that links back to the supplier.
Before and after
| Without it | With it |
|---|---|
| Deliveries checked against a printout | The receipt is made from the order |
| Inspection notes in a register | A quality inspection on the receipt |
| Faulty parts reach the shop floor | The receipt waits until inspection passes |
| No way to tell which supplier's lot it was | Each lot gets a batch number |
Each step is a real ERPNext screen in the demo company. FlowMentor points at what to fill in.
Purchase Receipt
What arrived from the supplier, line by line against the order; accepted goods go into stock.
Quality Inspection
The check on incoming goods: each reading from the item's inspection template, and whether it passed.
Batch
The batch number the goods carry: how many are left and which receipt brought them in.
Inside the demo company
Mith Demo Traders, a made-up company that makes and sells kettles and toasters. It isn't GST-registered, so its documents carry no tax.
An order for 100 thermostat switches is on its way; you receive it, and passing inspection readings are entered for you. The phone scanner is in MithUniverse only.
You're signed in as a demo visitor. Nothing is emailed, and what you make is removed 15 minutes after you finish.
And what each of them gets from it.
Stores
Receives against the order and puts stock away by batch.
Quality
Records the readings before goods are accepted.
Purchase team
Sees what's arrived and what's still due.
FlowMentor is our guide app for ERPNext. On each screen it points at the field to fill and the button to press, one step at a time, so you can finish the flow without training. It runs on the real screens, not a video.
The demo shows the plain flow. In a real project we set it up to how you work.
